Getting Started with ActionVibe

Welcome to ActionVibe. This guide will help you set up your account and create your first AI-powered transcription.

Prerequisites

  • A modern web browser (Chrome, Firefox, Safari, or Edge)
  • A valid email address or Google account
  • Audio or video files you want to transcribe

Create Your Account

  1. Visit ActionVibe.ai
  2. Click Sign Up in the top navigation
  3. Choose your authentication method:
    • Email: Enter your email and create a password
    • Google OAuth: Sign in with your Google account

After signing up, you'll be automatically logged in to your dashboard.

Your First Transcription

Upload a File

  1. Navigate to the Upload page from your dashboard
  2. Click the upload area or drag and drop your file
  3. Supported formats: MP3, MP4, WAV, WebM, OGG
  4. Maximum file size: 100MB (varies by plan)
  5. Add optional details:
    • Title: Name your transcription
    • Language: Select the audio language (default: English)

Processing Time

Once uploaded, your file will be queued for processing:

  • Small files (< 10MB): 2-5 minutes
  • Medium files (10-50MB): 5-10 minutes
  • Large files (50-100MB): 10-15 minutes

You'll receive a notification when your transcription is ready.

View Your Transcription

  1. Go to the Transcriptions page
  2. Click on your completed transcription
  3. View the full transcript with timestamps
  4. Review AI-generated summaries and insights

Understanding Workspaces

Workspaces help you organize transcriptions and collaborate with teams.

Personal Workspace

  • Automatically created with your account
  • Private to you by default
  • Ideal for individual use

Team Workspaces

  1. Click Workspaces in the sidebar
  2. Select Create Workspace
  3. Choose Team workspace type
  4. Invite team members via email
  5. Assign roles (Owner, Admin, Member, Viewer)

Smart Actions

ActionVibe automatically extracts actionable items from your transcriptions.

Viewing Smart Actions

  1. Open any completed transcription
  2. Navigate to the Smart Actions tab
  3. Review extracted tasks, decisions, and follow-ups

Managing Actions

  • Assign: Assign actions to team members
  • Set deadlines: Add due dates for tasks
  • Track status: Mark actions as complete
  • Export: Export to task management tools

Integrations

Connect ActionVibe with your favorite meeting platforms for automatic transcription.

Zoom Integration

  1. Go to SettingsIntegrations
  2. Click Connect Zoom
  3. Authorize ActionVibe to access your Zoom account
  4. Enable automatic recording transcription

Google Meet Integration

  1. Go to SettingsIntegrations
  2. Click Connect Google Meet
  3. Authorize the integration
  4. Meetings will be automatically transcribed

API Access

For programmatic access to ActionVibe features:

  1. Navigate to SettingsAPI Tokens
  2. Click Generate New Token
  3. Name your token
  4. Select the workspace
  5. Set permissions (read/write)
  6. Copy and securely store your token

Best Practices

Audio Quality

  • Use external microphones when possible
  • Minimize background noise
  • Ensure clear, audible speech
  • Test your recording setup before important meetings

Organization

  • Use descriptive titles for transcriptions
  • Apply tags for easy categorization
  • Create separate workspaces for different projects
  • Archive old transcriptions to stay organized

Team Collaboration

  • Invite team members early in the process
  • Assign actions immediately after transcription
  • Use workspace permissions to control access
  • Review and verify AI-extracted actions
