Getting Started
How do I create a ActionVibe account?

You can create a ActionVibe account by visiting actionvibe.ai and clicking "Sign Up". You can sign up using your email address or Google account. Once registered, you'll have immediate access to your personal workspace.

What file formats does ActionVibe support?

ActionVibe supports the following audio and video formats:

  • Audio: MP3, WAV, WebM, OGG
  • Video: MP4, WebM
  • Maximum file size: 100MB (varies by plan)
How long does transcription take?

Transcription speed depends on file size and current queue:

  • Small files (< 10MB): 2-5 minutes
  • Medium files (10-50MB): 5-10 minutes
  • Large files (50-100MB): 10-15 minutes

You'll receive an email notification when your transcription is complete.

How do AI tokens work?

ActionVibe uses a token-based AI system. AI tokens are consumed when using features like smart actions, summaries, and insights. Pro plans get 1M tokens/month, and Teams plans get 10M tokens/month (shared across all team members).

Can I change my plan at any time?

Yes, you can upgrade or downgrade your plan at any time from your account settings. Changes take effect immediately, and billing is prorated. If you downgrade, you'll retain access to your current plan features until the end of your billing period.

Transcription Quality
How can I improve transcription accuracy?

To get the best transcription results:

  • Use external microphones instead of built-in ones
  • Record in quiet environments without background noise
  • Speak clearly and at a normal pace
  • Ensure consistent audio levels (avoid clipping)
  • Test your recording setup before important meetings
Can ActionVibe transcribe multiple speakers?

Yes, ActionVibe can transcribe conversations with multiple speakers. The AI automatically attempts to identify speaker changes, though speaker identification is a premium feature currently in development. For best results with multiple speakers, ensure each person speaks clearly and there's a brief pause between speakers.

What languages does ActionVibe support?

Currently, ActionVibe supports English language transcription with high accuracy. Support for additional languages is planned for future releases. If you need transcription in other languages, please contact us to be notified when this feature becomes available.

Workspaces & Teams
What's the difference between personal and team workspaces?

Personal Workspaces:

  • Automatically created with your account
  • Private to you by default
  • Ideal for individual use

Team Workspaces:

  • Created explicitly for team collaboration
  • Can invite multiple members
  • Role-based permissions (Owner, Admin, Member, Viewer)
  • Shared transcriptions and actions
How many team members can I add?

The Teams plan supports up to 50 team members per workspace (3 seats included, additional seats at $19.99/month each). For larger enterprise needs, contact us about custom solutions.

Can I transfer ownership of a workspace?

Yes, workspace owners can transfer ownership to another team member. Go to Workspace Settings → Members, and use the "Transfer Ownership" option next to any Admin member's name.

Smart Actions
What are Smart Actions?

Smart Actions are AI-generated insights extracted from your transcriptions. They automatically identify:

  • Tasks: Actionable items mentioned in conversations
  • Decisions: Key decisions made during meetings
  • Follow-ups: Items requiring future attention
  • Assignments: Who is responsible for specific actions
How accurate are the Smart Actions?

Smart Actions are generated using advanced AI and typically have high accuracy, but they're not perfect. We recommend reviewing and verifying AI-generated actions before assigning them to team members. Each action includes a confidence score to help you assess reliability.

Can I edit or delete Smart Actions?

Yes, you can edit, delete, or create new actions manually. After reviewing AI-generated actions, you can:

  • Edit the title, description, or assignee
  • Set due dates and priorities
  • Mark actions as complete
  • Add custom actions not detected by AI
API & Integrations
How do I get API access?

API access is available on Pro and Teams plans. To get started:

  1. Go to Settings → API Tokens
  2. Click "Generate New Token"
  3. Name your token and select permissions
  4. Copy and securely store your token

What integrations are available?

ActionVibe currently supports:

  • Zoom: Automatic recording upload and transcription
  • Google Meet: Meeting recording integration
  • API: Programmatic access for custom integrations

Additional integrations are planned for future releases.

How do I set up Zoom integration?

To connect Zoom with ActionVibe:

  1. Go to Settings → Integrations
  2. Click "Connect Zoom"
  3. Authorize ActionVibe to access your Zoom account
  4. Enable automatic transcription for meetings

Once connected, your Zoom recordings will be automatically uploaded and transcribed.

Security & Privacy
Is my data secure?

Yes, security is our top priority:

  • All files are encrypted during storage and transmission
  • Built on SOC 2 compliant infrastructure (Supabase)
  • Files are processed securely and deleted after transcription
  • Workspace permissions control data access
  • We never use your data to train AI models
Who can access my transcriptions?

Access to your transcriptions depends on your workspace settings:

  • Personal workspaces: Only you (private by default)
  • Team workspaces: Members based on assigned roles
  • Public sharing: Optional link sharing with view-only access

You have full control over who can view, edit, or manage your content.

Can I delete my data?

Yes, you can delete individual transcriptions, entire workspaces, or your entire account. Go to Settings → Data & Privacy to manage your data. When you delete content, it's permanently removed from our systems.

Troubleshooting
My upload is failing. What should I do?

If uploads are failing:

  • Check that your file is under the size limit (100MB)
  • Ensure it's a supported format (MP3, MP4, WAV, etc.)
  • Try a different browser or clear your cache
  • Check your internet connection
  • Contact support if the issue persists
Why is my transcription taking longer than expected?

Transcription times can vary due to:

  • Queue length: High demand periods may increase wait times
  • File size: Larger files take longer to process
  • Audio quality: Poor quality audio may require additional processing
  • Plan priority: Pro and Teams plans get priority processing

You can check processing status in your dashboard.

I can't access my account. What should I do?

If you're having trouble accessing your account:

  • Try resetting your password using the "Forgot Password" link
  • Check that you're using the correct email address
  • Clear your browser cache and cookies
  • Try using an incognito/private browsing window
  • Contact support if you still can't access your account
